Created Jan 22, 2024Sharing Documents with Apprentices in the Apprenticeship Hub
The following walkthrough will show how to make new documents available to Apprentices via the Apprenticeship Hub's Documents tab. This walkthrough is not intended for signature requests.
Begin on the Apprentice's Apprenticeship Record and select 'Documents Center'
Click on the 'More' tab if you do not see the 'Documents Center' option.

Click the 'New' button.

Choose 'General' and then click on Next

Choose the option 'Document (Share Only)'. Other document types may not behave as expected in the Apprenticeship Hub as the tool was originally built with a slightly different function in mind.
Update the fields as necessary.

Documents may include an Document (Share Only), RTI Submission, a HelloSign/DropboxSign document, or a request for the Apprentice to upload a document.
To make a new document, uploaded by a staff member, visible to an Apprentice in the Hub you must select 'Document (Share Only)'.

You can link to a number of Salesforce records to have the document associated with them.

Click the 'Save' button once the necessary fields have been filled in.
Alternatively, click the 'Save & New' button to create another record.

The related Contact or Apprentice field must be filled in.

Attaching a Document
The document sharing tool was not built with the intention of sharing additional documents after the fact so this is a two-step process.
Click on the document record that you created.

Click the 'Related' tab.

Click the 'Upload Files' button and add the necessary resources.

Apprentice Experience
Apprentices can click the 'Documents' tab to see the document you have shared or requested.

Apprentices will see the various documents shared with them and their statuses directly in the Apprenticeship Hub.
