How to Check in a Resident Using StarRez Web

Search for the resident that is trying to check in. Entering their UIN is the preferred method as residents are required to show their i-card or government-issued photo ID. It's also the most accurate way to search.

Booking in Held Status

If their booking is Held - This means they have not signed their contract. Direct the resident to log into the Housing Portal and to sign their contract on the Apply Here page.

Booking in Reserved Status

If the booking is Reserved, this means they have signed their contract. Only if it is in Reserved status can they be checked in.

Review the Booking

Before checking a resident in, review the booking to make sure that their move-in date matches their contracts term (ex. Do not check in a resident into the Fall term in the Summer or their Spring term in the Fall).

Issue Keys

Review the key information to ensure that the keys handed out match what the system has. If the information does not match, contact the Housing Officer or Desk Manager for the procedure they have set up.

Resident In Room

To double check they are checked in, the status will change to In Room. Any key(s) issued will be reflected under the Related portion.

If you are prompted to fix or ignore dates:

Fix or Ignore the date varies per scenario.

Bottom Line is:

Fix only if the resident is checking out and are in person with you or if you are checking them out the same day they moved out.

Ignore if you are checking out the resident on a different day or do not know the day they checked out.

Note any discrepancies between the physical keys and they system.

Double Checking They are Checked Out

Two ways to check they were checked out is to look at the Status. If they are checked out and do not have a future booking, their status will change to History.

The better way to check is to double check their booking. Below it shows that they do not have a booking, just an application.

If they do have a booking and they were checked out properly, the booking would be only show for future bookings and say "Check in." DO NOT Check in if they are moving out.
